Non-Cancellation and Non-Refundability of Virtual Office Services

The Virtual Office service is provided on a non-cancellable and non-refundable basis.

Submission of Business Name Approval from MCA

Clients are advised to submit the Business Name Approval letter issued by the Ministry of Corporate Affairs (MCA), as the No Objection Certificate (NOC) will be generated in the approved name. In instances where the proposed name is rejected, a name rejection notification must be provided. Issuance of a new NOC and agreement will incur an additional documentation fee of INR 1,500 plus GST.

Finality of Agreement and NOC Post-Approval

Once email approval is received, no modifications to the Agreement and NOC copies will be accepted. Requests for changes to the client's name, address, or correction of typographical errors will be assessed, and upon payment of INR 1,500 plus GST, re-documentation will be processed.

Notarization Services

VOspaces offers notarization services where required. Notarization of the agreement is now mandatory for government registrations. Clients are responsible for notarization charges amounting to INR 450, which includes stamp paper of up to INR 100. Please note that notarization charges may vary depending on the location.

Bank Verification Protocol

For any bank verification processes, clients are advised to inform admin@vospaces.com in advance. This ensures that bank officials receive accurate and timely information about your business.

Mandatory Aadhar-Linked Mobile Number Verification for GST Application

It is now mandatory for all Indian business owners to complete Aadhar-linked mobile number verification via OTP for GST application processing. Clients must verify their credentials through this method exclusively. VOspaces will not be held responsible for application rejections in such cases, and no refunds will be issued. Therefore, ensure that at least one owner's mobile number is linked with their Aadhar Number at the nearest bank before applying for GST registration.

Refund Policy for Non-Approval of Entity

In cases where our legal team does not approve the entity for the virtual office solution based on the company's KYC, a refund will be processed in 2-3 business days after deducting INR 5,000 plus GST per booking as administrative fees.

Client-Managed Notarization

In certain scenarios, clients may be required to handle the notarization of the agreement themselves, which can be completed in their respective cities.

Prohibition for Specific Platforms and Entities

As per government directives, virtual offices cannot be utilized by online gaming or online betting platforms due to misuse of the service. Additionally, virtual offices cannot be used to register companies originating from India's neighboring countries, including but not limited to Pakistan, China, Nepal, Sri Lanka, and Bangladesh. The Ministry of Home Affairs requires physical presence of the business and personnel involved at the place of business for such registrations. In these and similar cases, the KYC will be disapproved, and the booking will be canceled.

Refund Policy for Space Partner Rejection

If the VOspaces team approves the KYC but the space partner rejects it for any reason, a refund will be processed in 2-3 business days after deducting INR 2,000 plus GST as administrative fees.

Forfeiture Due to Non-Submission of KYC Documents

If the client fails to provide the required KYC documents and details within 90 days of payment, the solution will be forfeited.

Forfeiture and Blacklisting for Fraudulent Activities

In cases where dummy directors are used to defraud the system by creating bogus or shell companies, the entire amount paid will be fully forfeited, and the client will be blacklisted from our system.

Google Maps Verification Exclusion

Google Maps Verification is not included in any virtual office membership. The additional cost for this facility is INR 5,000 plus GST (one-time charge).

Signage Policy

Complimentary signage offered with the virtual office solution is temporary and on-demand. It will be placed for a month at the start of the solution. Permanent signage, if required, must be subscribed to by the client. The subscription cost varies per location and venue and will be shared upon client request. Permanent signage options include a simple 6”x3” size or a premium 9”x6” size available at a higher tariff.

Role as Office Space Aggregator

We function as an office space aggregator, assisting with documents required for business registrations and postbox services. Clients are responsible for establishing their credentials with the authorities to obtain the necessary registrations.

Assistance with Authority Queries

In the event that authorities raise queries regarding any missing documents, VOspaces will assist in providing the required documents to address the query successfully, facilitating registration at the premises.
